Acara Solutions has an exciting opportunity for a Program Coordinator in Buffalo, NY. The Program Coordinator supports our staffing program with the customer, including customer service, daily account activity, and setting goals/objectives. You will represent Acara as the focal point for customer issues and concerns and work with the customer to ensure all processes and procedures are met. The Program Coordinator will complete and uphold all Key Performance Indicators.

Essential Duties:

  • Responsible for the day-to-day delivery of program services to our clients with a primary focus on effectively managing client's specific needs relating to the Program and providing the first line of support to customers/contractors
  • Schedules interviews, conducts onsite interviews and tours 
  • Review the processes and procedures of the program for accuracy and opportunities for improvement
  • Represents Acara as the point of contact for contractor issues and inquiries that include, but are not limited to, timekeeping, payroll, tax forms, workers' compensation reports, benefits administration, address changes, vacations, etc
  • Assists with employee onboarding and off-boarding, orientation, and other employee relations issues
  • Onsite administrative activities include personnel administration, payroll/billing, quality program compliance, matters involving other temporary agencies working with customers, internal security program compliance (if applicable), report generation and maintenance of appropriate files in accordance with Company policy
  • Prepare and present reports, including financial analysis, for customer and corporate staff
  • May provide Vendor Management System (Fieldglass) administration, including documenting requirements, submittals, etc. and provide customers with the first line of support on the Vendor Management System.
  • Communicate regularly with branch and corporate personnel regarding payroll changes and other employee administrative issues, as well as employee relations issues and workers' compensation
  • Process and track customer-required drug testing and security clearance paperwork as required by the customer
  • Prepare reports, letters, memos, forms, checks, or other correspondence
  • Maintains employee confidence and protects operations by keeping human resources data confidential

 

Other Duties:

  • Help to promote customer/contract employee relations through frequent contact and various activities
  • Establish customer/associate supplier/contract employee relations through frequent contact and various activities
  • Responsible for various other administrative and supervisory duties as directed by the Company
 
Job Requirements

 
Required Skills / Qualifications:

  • 1 year of experience working in an administrative role 
  • 1 year of experience and strong proficiency in MS Word and Excel

Preferred Skills / Qualifications:

  • Associate degree
  • 1 year of experience working in an administrative role with a temporary labor focus
  • 1 year of experience using an applicant tracking system

Upon offer of employment, the candidate will be subject to a background check and a drug screen. Additional industry skill testing may be needed before placement.
